Information Management Process

Definition

Information management process refers to the structured approach organizations use to manage personal data throughout its lifecycle while maintaining accountability under the DPDPA.

Under the Digital Personal Data Protection Act, 2023 (DPDP Act), an information management process refers to the practices used by Data Fiduciaries to manage personal data from collection and processing to storage, sharing, retention, and deletion. It helps organizations maintain visibility into how personal data is handled and ensures that processing activities are aligned with defined purposes and privacy obligations.

Organizations process personal data across multiple systems, applications, departments, and third-party relationships. An effective information management process helps establish clarity around what personal data is collected, why it is processed, where it is stored, who has access to it, how long it is retained, and when it should be deleted. This supports responsible data handling and enables organizations to respond effectively to Data Principal requests and privacy obligations.

The DPDP Act does not specifically define an "information management process" as a standalone requirement. However, organizations acting as Data Fiduciaries must maintain accountability for personal data processing, provide appropriate notices, process data for specified purposes, implement reasonable security safeguards, and protect personal data from Personal Data Breaches. Structured information management practices support these obligations by improving visibility and control over personal data.

In practice, gaps emerge when:

  • Organizations do not have complete visibility into personal data they process.
  • Personal data flows between systems and third parties are not documented.
  • Data retention and deletion practices are inconsistent.
  • Teams cannot identify ownership of personal data assets.
  • Privacy requests cannot be fulfilled efficiently due to fragmented information.

Organizations address these challenges by maintaining personal data inventories, mapping data flows, defining ownership, implementing retention practices, managing Data Processor relationships, and maintaining governance records. Within Privy, capabilities such as data discovery, data mapping, data classification, privacy workflows, and compliance reporting help organizations understand and manage personal data throughout its lifecycle.
